Spaces between sentences

Hi,

I use Word 2003 and TRADOS 6.0, so I don't know which one is messing up with the spaces between sentences. What happens is that sometimes (not always) after closing a segment, one or two extra spaces appear between the previous sentence and the last one. It doesn't always happen, but it surely is very annoying to have to go back and eliminate those extra spaces.
Is there any way Word can show me where those extra spaces are once you clean up the file? Is there anything ab

Word find-and-replace Oct 15, 2007

Hi Alan,

I don't know anything about Trados, but in Word (and WordPerfect) you can select the entire document, then go to find-and-replace. In "find," hit the space bar twice. In "replace," hit the space bar once. Then tell it to replace all. Repeat the process (because sometimes there are three or more spaces) until you no longer get any results.

That is what I do, too. But caution:
Some 'experts' use spaces instead of tabs to position texts. Deleting them could mess up the document layout

It's safer to search for 'dot space space' and replace with 'dot space'.

I think it's more likely to be simply that there were extra spaces between the sentences in the source file - this is certainly the case in a lot of files I receive.

RTF might give the extra spaces Oct 15, 2007

I have noticed that documents that were converted from, for example pdf to Rich Text Format seem to have extra spaces everywhere. Not just after sentences.

I have always corrected them (removed them) when I proofread the document one by one.

Doing a search and replace is a much handier solution. However, I am afraid that it would also get rid of spaces that I want.

Or is that not the case?

Good suggestion, John, especially in Alan's specific situation. To tell the truth, I'm paranoid enough that I seldom actually do "replace all"--I usually do "find next" and look at each instance before hitting "replace." But most of the time, I've created the document myself, so I know I haven't intentionally used the space bar twice in succession.

Unless the document is prohibitively long, Alan could do as I suggested, then quickly scroll through to see if anything looks wildly out of whack. If so, there's always "undo"!

Yes, that is the case, Lucinda. In general, though, it's considered inadvisable to ever use the space bar twice in succession (somewhere I have a wonderful little book called The Computer Is Not a Typewriter). In fact, I can't think of any case in which I would deliberately put in two spaces. It's better to use the formatting tools. But even so, you could use the search/find-and-replace function but use "find next" and then "replace" to look at each one before approving the change. Not as quick as "replace all," but still quicker, and more accurate, than eyeballing the document to find extra spaces and then removing them manually.

Important! In my original post I said to "select the entire document." That's actually not necessary. Just take the cursor to the top of the document and then go to "find-and-replace."
