I try to always keep it at under 50 (right now there are 43). I have a jobs folder subdivided into work in progress, work pending, accountant and all the various clients, plus non-work-related folders and I try to move incoming emails into one of them immediately, or delete them.

Otherwise I'd go mad trying to find everything.

I only recently discovered the benefits of keeping incoming messages in different folders (they had been marked different colors before). Now, the number of messages in the inbox proper doesn't increase, with important messages going to relevant folders, and even reduces when I have time to scroll down to messages dating back to 2006!

I use Thunderbird, and have set filters for all the important emails: family, clients, miscellaneous, and the like. So every incoming mail goes directly to its corresponding folder. Same happens to outgoing emails.

The ones that land in my inbox (very few) are dealt with and deleted or moved to their corresponding folder several times a day.
Trash bin is emptied whenever I exit the software.

I use Thunderbird, and globally find it very satisfactory. In fact, I recently discovered a little add-on that removes all duplicate mails. A short while ago a virus did something peculiar to my mail and I ended up with two or three copies of absolutely everything!
This little gem dealt with the problem in seconds.

I also colour code to decide what priority to give to my mail.
I have a rule for all work related mail that tags them as work related, so I don't miss them in among all the rubbish that I keep getting.

All in all - I'm happy with that.

A more interesting question would be how many emails do you have in your sent box.
I find that this only gets tidied up at the end of the month.

I don't like having more than 10 e-mails at a time in my in box, fewer if possible. This is easy with Gmail, because I just archive everything and then if I need it and it's fairly recent, I open All Mail, otherwise I do a key word search and find it easily. Gmail is great - no hassles, no folders, etc. I just wish I could use emoticons with it.

I can't for the life of me imagine why anyone would keep over 1000 spam emails - but then I once knew someone who ironed and folded away every paper bag he received from shops, and washed and stored away every foil take-away food container he received.

Great poll, though - it could be a way of sifting bidders if one was an outsourcer - ask how many emails they have in their inbox and bin those who have more than 20.

...and they correspond to the period from January to today. I usually put all emails (both received and sent) in archive folders at the end of each quarter (I now notice that I still hadn't done it this time). As we don't really use email to keep track of jobs at hand it's not really important to have the Inbox empty in my case.

I don't quite see the benefit of keeping spam in the anti-spam folder. If you are using a desktop-based email client (not a web client I mean), you might want to filter out spam even before it reaches you, just for your safety (many contain viruses, most contain just crap -sorry-). We use Firetrust Mailwasher. Nice and clean and no spam gets to our computers ever.

as I implied in my first answer, I'm not keeping them because I think I might need them one day. Rather just don't bother emptying the spam folder for several weeks and sometimes even months. No real need for, is there?

This pool did remind me to do that though, so the folder is clean again... well, there are a few new ones in there again by now, I'll delete them when something or someone reminds me of it again I suppose.

What is work and what not? May 6, 2008

Some people here mention that they have different folders to classify all emails as work, friends, family, etc... Now, I am curious: If you discuss something that is completely non-work with a customer (private questions or news, season's greetings, comments about recent news...) as it surely happens often, what do you do with the emails? Do you treat it as "work", or do you have a special folder for non-work matters with customers?

Hi, Catherine! Your case is similar to mine. I used to use Outlook because it allowed me to save the mail along with the folder or files, but now I am using gmail, but I don’t know how to create folders so as no to have 1,000,000 mails in my inbox. How is it that you do that?

I have always considered my organizational skills somewhat minimalist, but in fact, all client emails are in separate folders, as well as separate folders for various personal things. I leave emails I want to be nagged by in my inbox, due dates for current projects and credit card bills that need paying. Also, since I got a Blackberry, the process of zapping emails over to it makes them look like I have already read them, so I have to stay on top of things or I will miss something.
